We hear every day how AI will take over the boring, repetitive processes in our business. It will seamlessly automate our operations. But here’s the truth: automation only works when the underlying process makes sense.
Before applying AI to it, map the process you want to automate. Ask questions like, “How does the information enter your business?” Where does it go next? Who touches it?
Most workflow bottlenecks aren’t caused by a lack of technology application. They come from inconsistent steps, manual workarounds, and tasks that only one person knows how to do. If you automate a broken workflow, you don’t fix the problem — you accelerate it.
Once the workflow is clear, the right automation becomes obvious: online forms to eliminate back‑and‑forth email, scheduling links to reduce phone tag, automated reminders to cut down on no‑shows, and system integrations to automate data transfer. AI can then speed up and enhance the sensible workflow.
The goal isn’t to replace people with AI. It’s to remove workflow bottlenecks that slow your business down. Your team can focus on service, sales, and customer experience — the parts of the business that actually drive revenue.
If you’re unsure where to start, begin with the process that slows your business down or that everyone complains about. Map it. Simplify it. Then automate it and/or apply AI. That’s how small businesses get real value from technology, and especially AI.
